Personal Assistant
“Let’s start with the end in mind.” (Bonus points if you know from whom that’s referenced.) I am seeking a perssonal assistant to manage the many important, yet time-consuming, administrative details in my over-extended professional and personal life. My name is Mark R. LePage and I’m a busy entrepreneur architect, running 3 business, doing the work of 4 people, and working to change the world in a significant way (along with being a dedicated dad, husband, and friend).
I am currently based in New York, but I will be relocating with my family to the Charlotte, North Carolina region this summer (2019). My team is remote, working from the cloud and distributed throughout the U.S., with team members currently located in Pacific and Mountain standard time zones.
I would prefer to have an assistant located in the Charlotte, NC region, but that’s not a “deal breaker”. Finding the right person, with the right personality and the right strengths are my top priorities.
EntreArchitect is an online platform (EntreArchitect.com) developed to help architects build better businesses, be better leaders and live happier, more fulfilling lives. It’s where I spend the majority of my energy each day and you will focus most of your time.
Please know that this is not your typical “assistant” job…
Rock solid “people skills” are a MUST. You will be interacting with high-profile, yet down-to-earth, business people. You don’t need to be Ms. or Mr. Personality, just able to communicate with people in a friendly, professional manner.
I need someone who is SUPER organized, has respectable writing/editing skills and some basic social media skills (Facebook, Twitter, Instagram and LinkedIn).
Bookkeeping skills are also very important. A significant responsibility for this position will be the reconciliation of the monthly financial accounts for my three businesses using QuickBooks Online.
If the above description sounds like YOU and you’re interested in being part of our growing team, here’s what we’re offering: This is a part-time, entry-level position. The pay is $11.50 per hour with a maximum of 20 hours per week to start. (That’s about $1,000 per month.) I totally realize you won’t get rich with that compensation and the work may be pretty intense at times…
But there are some rather nice upsides to this position as well.
First, you will have flexibility on schedule. Ideally, you will be available 3 to 4 days a week for 3 to 5 hours each day. I am flexible on the daily start and end times, and if you have other daily or weekly obligations I can very likely work around them. Consistency is important for any remote team, so once we have agreed on a typical work schedule that benefits both of us, we will work to that calendar as we proceed.
Second, this is a remote position. You do not need to commute to an office every day and there is no dress code. You can work in your PJs and slippers if that’s what makes you happy (and most productive). You’ll never fight that daily rush hour traffic again.
Third, I sincerely want you to love your job. Your personal success is my fuel. I don’t expect perfection, but I do expect honesty and dedication. I expect your best. I expect you to be productive, proactive and disciplined with everything you do. This is the only way a remote position will succeed. If this isn’t you, then you won’t love your job… and we will both be sad.
Fourth, there is room for growth. Just like any small business… as the business grows (and it will; I have huge plans for EntreArchitect), so do the opportunities for new work and bigger and better job roles. I can’t guarantee your professional growth here, of course, (that is more up to you than me) but it is a true possibility.
Fifth, the people you will work with are amazing. They are fun, smart and driven. We have blast working with each other and truly care for one another. You, I suspect, will experience the same.
Sixth, you’ll be part of an exciting growing company, positioned to change the world in a big way!. If being a member of a fast moving, innovative team gets you excited about the future, then this may be the position for you.
Now, a little bit about what I need from you:
- You are very detail-oriented. Seriously… we are a fast moving, small group here and things can get messed up or confused pretty quickly. I want you to be meticulous in your work.
- You can bounce seamlessly between business and personal tasks. Leveraging the opportunities presented by Internet technology, we have structured our organizations to allow our personal and business responsibilities to become highly integrated. I have clear boundaries between all of my roles, but throughout the week I will move seamlessly from one to another. Therefore, your tasks will vary daily and will require you to handle both business and personal items for me.
- You are a service-oriented person who inherently wants to help people. You have rock-solid “people skills” and a naturally positive, “get it done” attitude. You can communicate with people with a professional manner (even when they are not) and love to be part of a motivated team.
- You have a basic understanding and familiarity with cloud-based applications. I personally use an iMac running MacOS, but our tools are in the “cloud”, so you can access them all from any standard web browser.
Our team currently uses the following applications:
- Google G Suite (Gmail, Google Docs and Google Calendar)
- QuickBooks Online
- Slack for Communications
- Zoom Video Conference
- VOIP Telephone
- Trello for Project Management
- Since you will be mostly working remotely from your home or office, you need to have a fast, reliable high-speed Internet connection, a computer capable of running the latest applications of the software mentioned above and mobile access via iPhone or another capable smartphone.
- In addition to being a very detailed person, you must follow and enjoy developing systems and processes. In fact, just to prove that you are detail-oriented and can follow procedures; when you apply for this position, in the subject line of the email you send to me, you must include “EntreArch19” in the subject line. Yep, that’s our little “process” to help sort out the people who blanket-send their resume to anyone and everyone, from the others (that’s you) who are truly interested in this position.
- You have to be thirsty to learn new stuff. I am always open to better ways of doing things and will expect the same from you. If you are the sort of person who is locked into “the way you have always done it”, this position isn’t for you.
- Your personal interest in small business, architecture and helping architects succeed will certainly make this position more enjoyable for both of us.
- Creativity will earn you more bonus points. Some basic understanding and ability to design will make your “assisting” more efficient and you a more valuable team member.
I am looking to bring a personal assistant on board as soon as possible, but I will spend the time to find the best fit, both in abilities and culturally. One thing that will give you a BIG leg up (but is optional) is to send a quick video along with your resume and letter of interest.
In your video tell me why you think you’re perfect for this job and why you will rock this position. This is purely for me to get a sense of your personality. If you decide not to send a video (that’s ok), I request that you tell me why you’re choosing not to send a video.
Send your video, resume and letter of interest to mark@entrearchitect.com and tell me why YOU are the right person for this position.
I look forward to meeting you!
Best Regards,
Mark R. LePage, AIA
